By booking or attending an appointment with Hamilton Dentists, you acknowledge and agree to these Terms & Conditions.
Hamilton Dentists is committed to delivering patient-centred dental care that prioritises long-term oral health outcomes. All treatment recommendations are made based on clinical need, best practice, and patient preferences.
Prior to commencing treatment, we will explain the available treatment options, including potential risks, benefits, and estimated costs. Patients will have the opportunity to ask questions and provide informed consent before any procedure begins.
Appointment reminders may be sent via SMS, email, or telephone as a courtesy. Failure to receive a reminder does not cancel or alter the scheduled appointment.
To allow other patients access to appointments, please provide two business days’ notice for all appointment changes.
Appointments cancelled within this timeframe are considered late cancellations.
Late cancellations, same-day cancellations, or missed appointments (no-shows) may incur a fee as per the following structure:
Patients arriving more than 10 minutes late may be required to reschedule their appointment to ensure adequate treatment time and to avoid delays for other patients. Late arrivals may be treated as a late cancellation.
Hamilton Dentists will provide an estimate of treatment costs prior to commencement wherever possible.
For extensive or extended appointments, a deposit may be required to secure the booking.
Any promotional offers or discounts are applied at the discretion of the practice and cannot be combined unless stated otherwise.
We aim to accommodate dental emergencies as promptly as possible and prioritise existing patients where feasible.
Patients experiencing severe pain, swelling, dental trauma, or uncontrolled bleeding should contact the practice immediately.
While we strive for the highest quality outcomes, dentistry cannot guarantee lifetime results due to factors including oral hygiene practices, diet, medical conditions, and natural changes over time.
Where treatment failure occurs due to material or workmanship defects, the practice will repair or replace the work within a reasonable timeframe, provided the patient:

Patients play an important role in maintaining their oral health. To assist us in delivering safe and effective care, patients are responsible for:
Failure to provide accurate medical information may affect treatment outcomes or safety.
All new patients will undergo a comprehensive dental examination prior to the commencement of treatment.
Where applicable, a written treatment plan and cost estimate will be provided. Patients will be informed of alternative treatment options, including the option of no treatment.
Consent to treatment may be provided verbally, in writing, or by proceeding with treatment following discussion with the treating practitioner.
Patients may withdraw consent at any time by notifying the practice. However, discontinuing treatment prior to completion may affect outcomes and may require additional dental care.
Hamilton Dentists provides on-the-spot health fund claims through HICAPS where available.
The rebate amount is determined by the patient’s individual health fund policy and not by the practice. Any outstanding balance (gap payment) must be settled on the day of treatment.
Dental records, including radiographs, photographs, scans, and clinical notes, form part of the patient’s permanent clinical record and are stored securely in accordance with Australian legal requirements.
Patients may request copies of their records by submitting a written request to the practice.
With patient consent, de-identified clinical images may occasionally be used for professional education, case discussion, or marketing purposes.
In rare circumstances such as practitioner illness or equipment failure, Hamilton Dentists may need to reschedule appointments.
Patients will be notified as soon as possible and offered the earliest suitable alternative appointment.
Due to the duration and preparation costs of In-Office Professional Teeth Whitening treatment, an advance of $300 is requested at the time of appointment confirmation against the treatment fee. The remaining outstanding fee will be charged on the day of treatment. Failure to attend or cancellation within 48 hours of the appointment will incur a loss of this sum.
